What does 123 Organiser actually do?

You get your own 123 Organiser email address. Share it as an extra recipient on the emails that matter — customer requests, meetings, invoices, bookings, contracts, renewals, and deadlines — forward things individually, or set up a forwarding rule for things you want organised automatically.

123 Organiser pulls out the useful information, summarises it, adds important dates and actions to your diary, and sends you a message. A Sunday summary and a same-day Daily reminder mean you never have to go digging through old emails to remember what's coming up. What kinds of email is this actually for?

Anything containing something you need to know, do, or remember — customer requests, appointments, meetings, supplier emails, invoices, payment dates, bookings, deliveries, staff admin, contracts, renewals, compliance deadlines, or anything else with a date or a deadline attached. You choose what reaches 123 Organiser; nothing arrives at your 123 Organiser email unless you send it there yourself, and we don't browse your inbox.

It's for things worth remembering, though — not a general dumping ground for every email you receive. If it doesn't have a date, a deadline, or something you'd want to act on, it's probably not worth sending.

Do you have access to my whole inbox?

No. 123 Organiser only receives emails you share it on, forward, or send through a forwarding rule — we never see anything else in your inbox, and there's no login we could use to browse it even if we wanted to.

How will I actually find out about things?

  • A Daily reminder for anything happening that day
  • A Sunday summary of the week ahead, so Monday morning never catches you out

No app store download needed — it runs from your phone's browser, and notifications work the same way once you turn them on at signup.

Can I share it with my team?

Yes. Invite other people to your account and they'll verify with their own phone and email, separately from you. They can then access the shared diary without needing your login. There's no extra charge per person on your plan.

Can I use my existing calendar?

Yes. Add a link once and everything in your 123 Organiser diary shows up in Google Calendar, Apple Calendar, Outlook, or any app that can subscribe to a calendar feed. It's one-way — your 123 Organiser diary stays the master copy — but you'll see it alongside everything else you've already got. Or just keep it as its own dedicated diary; either way works, and you can switch any time from Account.

How much does it cost?

You can start free — no card required. Paid plans start at £2.99/month, with higher email and upload allowances, and ad-free options available. Paid plans include a 14-day free trial and can be paid monthly or yearly.

Is this safe to use?

Think of your 123 Organiser email as an extra recipient — except this one reads the email for you instead of a person.

Can the AI get things wrong?

Occasionally, yes. 123 Organiser is reading real-world emails and attachments, so it can sometimes misread a date or miss something that isn't clearly written.

It's designed to organise the useful information in your emails, not replace the original. For anything particularly important — or detailed documents such as contracts or policies — you should still check the original. Your original remains in your own inbox so you can always refer back to it.

Can I correct something if 123 Organiser gets it wrong?

Yes. Open any diary entry and edit it directly — the date, time, details, or anything else. However it got there, it's your diary entry once it's in, so it's always yours to fix.

What happens to the emails you receive?

Our copy of the original email and its attachments is automatically deleted after 72 hours. That's a fixed rule, not a setting, and it isn't extended for any reason, including if you raise a support query about it. Your own original remains untouched in your own inbox, since you shared, forwarded, or set up a rule to send it — rather than sending it to us instead.

We keep the useful information needed for 123 Organiser to work — such as the summary, event or action, date, time, location, deadline, and reminder details. We don't keep your original emails as a searchable archive, and none of it is ever shared with anyone else or used to advertise to you — see our Privacy Policy for the handful of specialist processors (email delivery, hosting, and the like) we rely on just to run the service.

Can I refer someone?

Yes. Share your referral code (found under Account once you've signed up). If they use it for a paid plan, they'll get 30 days free instead of 14. Once they become a paying customer, you get a free month too.

What if I cancel?

Cancel from your account at any time. Your paid plan stays active until the end of the period you've already paid for, and you won't be charged again. If you're in your free trial and cancel before it ends, you won't be charged at all.

What happens to my data if I cancel?

It's kept for a short window afterwards in case you change your mind and want to restart exactly where you left off. After that, it's permanently deleted.
