Getting emails in
How do I actually get emails into 123 Organiser?
Every account gets its own private inbound address — something like smith4f2a@123organiser.com. Find your real one any time on the Account tab (it's also shown once right after you sign up). Anything sent there gets read and summarised, with useful dates, actions and events added to your diary. Nothing else in your inbox ever reaches us.
There are a few ways to get emails to it:
Add it as a recipient — give your 123 Organiser address to a utility provider, delivery company, or anyone else who regularly sends you important emails, and ask them to add it as an additional recipient going forward.
Forward things yourself — forward any individual email across as it arrives, the same as forwarding to a colleague.
Set up a forwarding rule — configure your own inbox to copy matching emails across automatically. We'd recommend forwarding only the emails you actually want organised, not your whole inbox — steps for the most common providers are below.
Paste or upload — can't forward or set up a rule? Open the Diary tab, tap +, choose Add file or email, and paste the text or attach the file directly. Works exactly the same as sending it to us.
Whichever route you use, anything that arrives gets treated exactly the same way.
Set up Gmail
Recommended: forward only what you want organised, rather than everything.
On the web, open Settings (gear icon) → See all settings → Forwarding and POP/IMAP
Click Add a forwarding address and enter your 123 Organiser address
Gmail sends a confirmation to that address — either a link to tap or a code to enter, depending what you get. You'll receive it as a message from us moments later; tap the link, or enter the code back in Gmail, to confirm
Go to Filters and Blocked Addresses → Create a new filter → set From to the sender you want organised → under Forward it to, choose your 123 Organiser address
Want everything forwarded instead? Back on the Forwarding and POP/IMAP tab, choose Forward a copy of incoming mail to your 123 Organiser address — most people only need specific senders organised, so this is the exception rather than the default.
Set up Outlook & Microsoft 365
Recommended: forward only what you want organised, rather than everything.
Go to Settings → Mail → Rules → Add new rule
Choose a condition, e.g. From a specific sender
Choose the action Forward to and enter your 123 Organiser address
Want everything forwarded instead? Settings → Mail → Forwarding → turn it on and enter your 123 Organiser address. Microsoft may ask you to verify your own account first if you haven't already — there's no separate code to confirm on our end.
Using a work Microsoft 365 account? Many organisations block automatic forwarding outside the company by default, so you may see an error rather than silence. If so, you can still forward emails to us manually instead.
Set up Yahoo Mail
Automatic forwarding on Yahoo — of any kind, including for a single sender — is a Yahoo Mail Plus (paid) feature.
If you have Mail Plus: go to Settings → More Settings → Mailboxes, then select your mailbox
Enter your 123 Organiser address and tap Verify — Yahoo sends a code to confirm it, which you'll get in a message from us moments later. Enter it, then Save
Forwarding is now available — for everything, or scoped to one sender via Settings → More Settings → Filters
On a free account, forwarding isn't available at all — use the add-as-recipient or forward-manually options above instead, or paste emails in yourself.
Set up iCloud Mail
Go to icloud.com/mail → Settings → Mail Forwarding
Tick Forward my email to and enter your 123 Organiser address — no code to confirm
iCloud can only forward everything, not just specific senders. For most people, forwarding individual important emails as they arrive — or simply giving out the address directly — is a better fit than mirroring your whole personal inbox.
My forwarding rule has stopped working
A few things worth checking, in order:
Is the rule or filter still switched on? Some providers quietly disable a forwarding rule after a security check, or after a password change
Is your 123 Organiser address still correct? If you ever regenerate or change it, any existing rule keeps pointing at the old one
Work accounts (Microsoft 365 especially) sometimes have external forwarding switched off centrally by an administrator, occasionally after it's already been working for a while — if a specific email bounced back to the sender, this is usually why

Notifications & diary
Not getting notifications?
On iPhone, Apple only delivers notifications to a site that's been added to your Home Screen as a web app — a regular Safari tab, even bookmarked, can't receive them at all. If you haven't done this yet:
Open 123 Organiser in Safari (not Chrome or another browser — this only works in Safari on iPhone)
Tap the Share icon (the square with an arrow pointing up)
Scroll down and tap Add to Home Screen
If you see an Open as Web App toggle, make sure it's switched on, then tap Add
Open 123 Organiser from the new icon on your Home Screen, then go to Account and make sure notifications are switched on
On Android, notifications generally work from a normal browser tab too, but adding it to your Home Screen (Chrome's menu → Add to Home Screen or Install app) gives you the same full-screen, no-address-bar experience as any other app.
Still not arriving? Check Settings → Notifications → 123 Organiser on your phone (Android's equivalent is in the same place) and make sure notifications are allowed there too — the switch inside 123 Organiser and the one in your phone's own settings are separate, and both need to be on.
I sent an email but nothing appeared
Work through these in order:
Double-check it went to your exact 123 Organiser address, letter for letter — find it any time on the Account tab
Give it a few minutes — most emails are read and summarised within moments, but it can occasionally take a little longer at busy times
Check the Messages tab, not just the Diary — not every email contains a date or action worth adding to your diary, but everything we receive is still read, summarised, and shown there
Check you haven't reached your monthly email allowance — see below
If you're using a forwarding rule, try forwarding that one email manually instead, to rule out the rule itself

123 Organiser got a date or event wrong
Open the Diary tab, tap the event in question, then Edit to correct the date, time, or any other detail — or Delete it if it shouldn't have been added at all. Your change is saved immediately.
If it's happening often for a particular sender, let us know — it helps us improve how we read that kind of email.
My calendar isn't syncing
If you've connected 123 Organiser to your phone's own calendar app via the calendar feed (Account tab → sync with your calendar), a few things worth knowing:
It's one-way — events flow from 123 Organiser into your calendar app, not the other way round
Your calendar app checks for updates on its own schedule, not instantly — most apps refresh every few hours rather than the moment something's added
If the feed's stopped working entirely, try removing the calendar subscription from your calendar app and re-adding it fresh from your Account tab
Account & device
Got a new phone, or cleared your browser?
Your account and diary haven't gone anywhere — you just need to verify who you are again on this device, the same way you did when you first signed up:
Enter your name, email, and the mobile number already on your account, and we'll text a code to that number to confirm it's you. If your mobile number has changed too, get in touch and we'll help you get set up with the new one.
One thing that won't carry over automatically: your message history. That's stored only on your old device, not centrally with us, unless you'd already turned on encrypted backup — see our Privacy Policy for how that works.
I can't log in, or my verification code hasn't arrived
A few things to check:
Make sure you're entering the exact name, email, and mobile number already on your account — even a small mismatch stops the code being sent
Text messages can take a minute or two to arrive — if you've requested several codes in quick succession, wait a few minutes before trying again, since repeated requests are deliberately slowed down for security
Check your phone has signal and hasn't silently blocked the sending number

Do I need to update 123 Organiser myself?
No. Updates happen automatically — there's nothing to download or reinstall. If you've had 123 Organiser open in the background for a while, close and reopen it to make sure you're using the latest version.
Plans & limits
I've reached my monthly limit
Each plan has its own monthly email allowance, shown on your Account tab alongside how much you've used. Once you reach it for the month:
Further emails that month aren't read or summarised — you'll get a single message telling you the limit's been reached, not one for every email after that
Nothing already read and summarised before the limit is affected
Your allowance resets at the start of the next calendar month
Need more headroom sooner? See upgrade options — a higher plan raises your allowance straight away.
An attachment wasn't processed
123 Organiser reads PDFs, images (JPG/PNG), and Word/PowerPoint/Excel documents (.docx/.pptx/.xlsx) attached to an email. A few things stop an attachment being read:
It's over 4MB — each attachment needs to be under this individually
It's an old-style Word, PowerPoint, or Excel file (the versions from before 2007) rather than the modern .docx/.pptx/.xlsx format
It's a file type we don't read at all, like a .zip or a video
The email itself is still read and summarised as normal — it's only that specific attachment that's skipped.
